Manage Your Billing Details

Keep Your Billing Details Up to Date in Fuel Me

You can access, view and update your Billing information at any time through the Billing section of your Fuel Me account.  

Only Account Owners, Company Admin and Users with Billing Permissions will have access to the Billing portion of their Fuel Me account. 

There are five tabs within the Billing section:

Details
Credit
Invoices
Statements
Tax Exemptions

Only Account Owners, Company Admin, Site Admin and Users with Billing Permissions have access to all of the tabs within the Billing section of your Fuel Me account. 

Details Tab

The Details tab is where you can view and update your Billing Information and Payment Method(s). 

To make changes to the Billing information, simply update the desired fields, then click on 'Save' in the bottom left corner.

You can add and update your payment information by scrolling down to Payment Methods within the Details tab. Click on the + Add Payment button then choose your preferred payment method to add your details. If you have multiple payment options, you can set one as your Primary option by click on the 'Set as Primary' link. 

Credit Tab

The Credit Tab will display your approved Credit Limit and allows you to download the details of your Account Registration form. If you need to increase your credit limit, you can request that here by entering in an amount in the 'Request Higher Limit' field and clicking on 'Resubmit.' 

This will send a request to a Fuel Me team member for review. 

Invoices Tab

The Invoices tab presents a complete list of all of your Fuel Me invoices in a list view format for easy reporting purposes. It displays all of the key details of your invoices in one spot including:

  • Invoice Number
  • Purchase Order Number
  • Order and Delivery Dates
  • Invoice Issue Date and Payment Due Date
  • Payment Status: 
    • Paid: Your invoice has been paid in full and there are no outstanding balances.
    • Outstanding: There is a remaining balance or payment due for the invoice.
    • Overdue: The payment is past-due and the invoice needs attention. 
  • Gallons Delivered

Clicking into any Invoice will allow you to see the statement as a PDF:

Additionally, you can also download this view as an XLS, PDF or CSV file by selecting all of the rows and selecting your preferred download format.

Statements

The Statements tab allow you to easily run comprehensive reports of every completed Order within your Fuel Me Portal. To run a Statement Report:

  1. Select your preferred Site or choose 'All Sites' from the Site dropdown
  2. Select a date range for your report using the 'Date Range' option
  3. Choose how you would like your Statement broken down: By Asset, Date or Asset & Date
  4. Click 'Search'

Your Statement Report will be generated and you can then download the report as a PDF or an XLS file. You can read more about reports in our Running Reports article. 

Tax Exemptions

If your organization is Tax Exempt or if you have certain Sites that are Tax Exempt, you can upload your certificates directly to your Fuel Me account. This makes it easy for your team to track and access these documents for accounting purposes. Once you've uploaded your form, your Fuel Me Customer Success Manager will be notified and verify your Tax Exemption form. 

To upload your Tax Exemption forms:

  1. Click on the Tax Exemptions Tab
  2. Click on '+ Add Tax Exemption' 

3. Fill out the required fields

4. Upload your Credentials

5. Click on '+ Add Tax Exemption'
